STEP 3: REVIEWING, CUSTOMIZING & CONFIRMING THE BOOKING.
For any inquiry we will contact you within 24 working hours (normally less) with an initial quote. Please review our quote and work with us to make any changes to finalize or customize your Holiday. This process may take a few/several exchange of emails or phone calls between us, until you are completely satisfied with the proposed itinerary. We truly understand that everyone has different tastes and interests, and because of this we work very closely with our clients on every detail no matter how large or small. Be it itinerary, accommodations, sights to visits, activities to be done or your budget, nothing is too much trouble for us to ensure we plan the perfect vacation for you! We will then ask your permission for TravelLoops to reserve all the ground services for your holiday. At this stage, we send you an initial confirmation of service, and a request that you pay TravelLoops the deposit for the tour.
STEP 4: DEPOSIT & PAYMENT.
A deposit equal to 20% of the total cost, or USD100 (US Dollar) per person on the trip, is required at the time of booking, whichever amount is the greater.
The full or final payment is required 30 days before departure.
Should the tour be booked within 30 days to departure, full payment is required at the time of booking.
Except as otherwise agreed by TravelLoops, Client’s payment shall be made by cash, credit card, or travelers checks, depending on the agreement of both parties. A Bank service charge of 3% will be added to the total amount due when using a Credit Card. Any charges levied by the sending institution related to other methods of payments must be paid by the Client and may include the correspondent bank's fees as well.

Important Notes for those who make the payment through telegraphic transfer / wire transfer:
After transfer please make a copy of the transaction receipt issued by the bank, then scan and send to our sale team that respond with you. Once we have received your payment, which can take up to 3 business days, we will begin securing your bookings.
Please note: TravelLoops does not cover any transaction fees applied by the bank. Sender must cover all bank transmission charges. It may include the correspondent bank's fees as well.
II. Visa or Master Card secure online CREDIT CARD payment via Gateway Credit Card Payment:
Gateway Credit Card Payment is a leading online payment system in Cambodia. Major credit cards such as Visa, MasterCard, and JCB Card are accepted. You will be charged a 3% transaction fee, on the total amount paid, when using this service.TravelLoops securely connects with Gateway Credit Card Payment to accept Online Card Payments. All of your card information is processed through URL protocol with international card security standards. Your card information will not be stored at our system (Merchant). After you have received our Invoice Payment link, please check all information therein. If all the information is correct, please read the Terms and Conditions and click, I agree with Terms and Conditions, then click Submit. You will then be directed to the Payment Gateway to pay us online with Visa, MasterCard and JCB Card with following steps:

If you have input the correct card information but do not receive a transaction result from the payment gateway, or from us, please DO NOT try to make another payment. In this circumstance please contact us for the transaction result or order confirmation.
Please note: If either Gateway Credit Card Payment or TravelLoops has reason to believe that the payment you made was fraudulent, we reserve the right to hold your bookings and request another method of payment.
III. Cash payments:
Cash payments can be made for the final amount directly to TravelLoops via our company Tour Guide or accounts staff upon arrival, thereby avoiding additional fees. Please contact us for details on when final payments in CASH are accepted.
STEP 5: RECEIVING YOUR FINAL CONFIRMATION:
After we receive your agreement on the final itinerary and price quoted, TravelLoops will then reserve your ground services and send you a final confirmation for your trip.
Flexibility is our strongest point. You can amend your booking even after it is confirmed. Just contact our sales person or contact us with your booking/confirmation number. Our sales/reservations team will be happy to change your booking wherever possible. Please note you will be responsible for any additional payments, should there be a price increase caused by your request to change your booking.
Cancellations will be charged as follows:
More than 30 days before arrival: No cancellation charge. However, 10% of the tour price for deposit is non-refundable.
15-30 days before arrival: 20% of the total amount will be apply for cancellation charge.
14-7 days before arrival: Maximum will be 50% of the total amount will be apply cancellation charge.
Less than 7 days before arrival: 100 % of the total amount.
Please note that some suppliers (airlines, hotels, cruise companies) have cancellation policies that are different from TravelLoops which we may have to enforce depending on the individual suppliers’ contract.
Claims and Refunds for Unused Services
No refunds will be made in respect of accommodation, meals, sightseeing tours, transport or any other services which are included in the tour prices but not utilized by the tour member.
For exceptional claims to be considered, they must be received in writing by Travel Loops team within 30 days of the termination of the program and be accompanied by supporting documentation.
